The Shelf is operated by BDMG Enterprises Pty Ltd (ABN 82 636 813 299, ACN 636 813 299), trading as The Shelf, from Sydney, Australia. In this policy "we", "us" and "our" mean BDMG Enterprises Pty Ltd, and "you" means anyone using The Shelf at theshelfos.com.
This policy explains what we collect, why, who we share it with and what control you have. It's written to be read, not to be survived. If anything here is unclear, email sean@bigdaymedia.com.au and we'll explain it properly.
The short version. We store the gear you catalogue and the photos you take of it, so we can show them back to you. We send your photos and item text to an AI provider to identify and file them. We never sell your data, we never use it for advertising, and you can export everything you've put in at any time — including if you stop paying.
This is the bulk of what we hold, and it's yours:
If you use Archive Agent to catalogue a hard drive or network storage, we store file and folder names, paths, sizes and dates only. The contents of your files are never read, never uploaded and never leave your machine. The scan runs in your browser and sends us an index, not your media.
Subscriptions are processed by Stripe. We never see, receive or store your card details. We store a Stripe customer reference, your subscription status and renewal date so we know which plan you're on.
We use your information to run the service and for nothing else:
We do not sell your personal information. We do not use it for advertising, and we do not share it with advertisers or data brokers.
This is the part most policies gloss over, so we'll be specific.
When you photograph an item, that photograph is sent to Anthropic's Claude API to identify what it is and suggest a name, category and details. The same applies when you scan a serial number or ask a question about your inventory — the relevant text and images are sent for processing and the result is returned to you.
Anthropic processes this data as our service provider under their commercial API terms, which provide that inputs submitted through the API are not used to train their models. Data sent for processing is transient — it is used to generate the response and is not retained by us beyond storing the result on your item record.
If you would prefer that a particular photograph is never sent for AI processing, don't use the AI auto-fill feature for that item — you can always enter details manually.

We may also disclose information where we're required to by law, or where it's necessary to protect our rights, our users or the public.
Our infrastructure providers store and process data on servers located primarily in the United States. By using The Shelf you consent to your information being transferred to and processed overseas.
Under Australian Privacy Principle 8 we take reasonable steps to ensure overseas recipients handle your information consistently with the Australian Privacy Principles, including by using established providers with published privacy and security commitments.
No system is perfectly secure. We take reasonable steps to protect your information, but we can't guarantee absolute security. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
You can export everything you've put into The Shelf at any time, from any plan, including if your subscription has lapsed. Your stuff was always yours. We consider this non-negotiable and it will not change.
Most of your information is directly visible and editable in the app. For anything that isn't, email us and we'll provide or correct it.
You can delete individual items at any time. To delete your entire account and all associated data, email sean@bigdaymedia.com.au. We'll action it within 30 days. Some information may persist in backups for a short period afterwards, and we may retain records we're legally required to keep, such as transaction records for tax purposes.
The session cookie is essential — the app can't keep you signed in without it. Google Analytics cookies are not essential and you can block them with browser settings or an extension without affecting the app.
You have additional rights under the GDPR, including data portability, restriction of processing, objection to processing, and the right to lodge a complaint with your local supervisory authority. Email us to exercise any of these.
We keep your content for as long as your account is open. If your subscription lapses, your data is retained — you keep access to view and export it. If you delete your account, we delete your content. Transaction and tax records are kept for the period Australian law requires, currently five years.
The Shelf isn't designed or intended for children under 16, and we don't knowingly collect their information. If you believe a child has created an account, contact us and we'll remove it.
If we make material changes we'll update the date at the top and, where the change meaningfully affects how we handle your information, notify account holders by email. Continuing to use The Shelf after a change means you accept the updated policy.
